How to Find Returns Not Credited to You

Returns go missing between the marketplace's return report, your settlement and your warehouse, and you can find them by matching the three records order by order.

  • Spot unmatched returns
  • Catch unreversed fees
  • Build claim-ready evidence
  • Meet claim windows
  • Reduce silent losses

SHORT ANSWER

To find returns not credited back to you, export the returns report, match each return to a line in your settlement report, then match it to your warehouse inward record. Returns with no stock received, no refund adjustment or no fee reversal are your exceptions. Check them against your seller agreement, attach evidence and raise claims within the allowed window.

What 'returns not credited' usually means

Sellers use this phrase for several different gaps. Treat each one separately, because the evidence and the claim are different.

  • Stock never came back: the settlement shows a return deduction, but the item did not reach your warehouse, or arrived wrong, damaged or used.
  • Fees not reversed: the order was returned, but commission, fixed fee or shipping charges stayed in the settlement even though your agreement says they should be reversed.
  • RTO not adjusted: the shipment came back undelivered, but the sale value was not netted off, or charges were not treated as per your terms.
  • Return missing from settlement: the portal shows the return as complete, but there is no matching line in the settlement report.

Which of these are claimable depends on your seller agreement and the marketplace's current return and claim policy. Read both before you start.

Gather the right records first

You cannot find a gap with one report. Pull these for the same period:

  • Sales or order report: order ID, sub-order or item ID, date, selling price.
  • Returns and RTO report: return ID, type (customer return or RTO), status, dates.
  • Settlement or payment report: line-level deductions, reversals, commission and fee lines.
  • Seller agreement and rate card: to know what should be reversed and what should not.
  • Warehouse inward records: return scans, GRN entries, unboxing photos or videos.
  • Courier tracking: especially for RTO shipments.

Make sure every file carries the same order or item ID. If one report uses a different ID, build a simple mapping column before you begin.

Step-by-step: how to find the gaps

  1. Export returns for one period. Filter for statuses such as delivered to seller, return complete or RTO received. Status names differ by marketplace, so use the ones in your own report.
  2. Match returns to settlement lines. Use order or return ID. Flag returns with no deduction or reversal line, and settlement reversals with no return record.
  3. Match returns to warehouse inward. A return marked delivered to you with no inward scan is a candidate for a missing-stock claim.
  4. Check condition. For items that did arrive, compare the received product with the order. Wrong, damaged or used items need photo or video evidence.
  5. Recheck fees. For each returned order, compare the commission, fixed fee and shipping lines in the settlement with your agreement. Confirm what is reversible in the latest terms.
  6. Respect settlement timing. Some reversals land in a later cycle. Note the date and recheck before you call something missing.
  7. Build an exception list with order ID, reason, amount and evidence reference.

Raise the claim with evidence

Once you have the exception list, check the claim window in your seller agreement or seller panel. Windows and process vary by marketplace, so confirm the latest terms instead of relying on memory. Do not let older exceptions sit unchecked.

  • Group claims by reason so each ticket has one clear issue.
  • Attach the order ID, return ID, settlement line, courier proof and warehouse evidence.
  • State the amount you expect and the clause or policy you rely on.
  • Record the ticket number, date raised and follow-up date.
  • Escalate through your account manager if tickets stall past the stated response time.

Make it a monthly routine

Doing this once finds old losses. Doing it every settlement cycle stops new ones. Fix an owner in finance or ecommerce operations, one exception template and a cut-off day each month.

If manual matching across large order volumes is slow, MarketplaceMetrics by Fundle reconciles marketplace sales and settlements, checks fees against agreed terms, and tracks returns and recovery cases. Worked example

Illustrative example (figures are made up for explanation only):

  • In one settlement period, the returns report shows 40 returns marked delivered to the seller.
  • Your warehouse inward log shows 34 received. Six have no inward scan.
  • Assume the cost of each missing item is ₹600, so the potential stock claim is 6 × ₹600 = ₹3,600.
  • Separately, two returned orders still show a commission line of ₹180 each in the settlement. If your agreement says commission is reversible on returns, the potential fee claim is ₹360.

Your exception list would carry eight rows, with a combined illustrative value of ₹3,960. Each row needs its own evidence, and the final claimable amount depends on your agreement and the marketplace's review.

Questions and answers

How do I know if a return was credited to my settlement?

Match the return ID or order ID from the returns report to a line in the settlement report. Look for the refund deduction and any fee reversal. If the return is complete but no line exists, check later cycles before raising a claim.

What should I do if a return is marked delivered but never reached my warehouse?

Check your inward log and courier tracking first. If there is no scan, collect the proof of delivery, order and return IDs, and raise a ticket as per your seller agreement. Mention the policy or clause you rely on.

Are commissions always reversed on returned orders?

No. It depends on your agreement, rate card and the marketplace's current policy, and some fees may not be reversible. Check the exact terms for your category and marketplace, then compare them with the fee lines in your settlement report.

How often should I check for uncredited returns?

Review every settlement cycle, or at least monthly, so each exception is raised within the claim window. Do not wait for quarter-end, because evidence gets harder to find and some claim windows may already have closed.
