Reconcile Amazon Settlements with Your Bank Statement

SHORT ANSWER

Download the settlement report for each settlement period, note its settlement ID, net total and deposit date, then find the matching credit in your bank statement using the date and UTR reference. If the two totals agree, move to line-level checks. If not, look for reserves, carried-forward balances, split payouts and bank charges, and log the gap.

What you are actually matching

A settlement report is the marketplace's statement of everything that went into one payout: orders, refunds, fees, taxes withheld and adjustments. Your bank statement shows only the final net credit. Reconciliation therefore works at two layers:

  • Payout level: does the net amount in the settlement report equal the credit in your bank account?
  • Line level: is each sale, refund, fee and deduction inside that net amount correct and supported by your agreed terms?

Many sellers stop at the first layer. A payout can match the bank to the rupee and still contain a wrong fee or a missing reimbursement.

Documents to collect before you start

  • Settlement reports for every settlement period in the month. Report names and menu paths in Seller Central can change, so check your account's Payments or Reports section for the current location.
  • Bank statement for the same dates, in CSV or Excel rather than PDF.
  • Order and returns reports for the same period.
  • Seller agreement and fee schedule, which are the only reliable source for your commission, fixed fee and other charges.
  • Tax statements you receive for TCS and TDS. Rates and treatment change, so confirm the latest position with your tax adviser.

Step-by-step: settlement report to bank credit

  1. List settlement IDs. Note each ID, the period start and end dates, the net total and the deposit date. Settlement periods rarely follow calendar months, so do not filter by month.
  2. Find the bank credit. Search your statement for credits from the marketplace within a few days of the deposit date. Use the UTR or reference in the narration where available.
  3. Match one to one. Tag each settlement ID against one bank credit. Anything left on either side is an unmatched item.
  4. Compute the difference. Settlement net minus bank credit. Zero means the payout is complete; anything else goes to your exceptions list.
  5. Summarise the report by category. Use a pivot table to total sales, refunds, commission and fees, taxes withheld, adjustments and reserves.
  6. Cross-check with orders and returns. Sales and refund totals should tie back to your order and returns reports for the same period.
  7. Test fees against your terms. Recalculate a sample of fees using your agreement's rate card, then widen the sample if you find errors.
  8. Log every exception with an amount, settlement ID, suspected cause, owner and status.

Why the bank credit often differs

  • Reserve or held amounts that are released in a later settlement.
  • Negative balance carried forward from an earlier period with high returns or fee debits.
  • Split or delayed payouts where one settlement arrives as more than one credit, or lands after your statement cut-off.
  • Bank charges or rounding that sit outside the marketplace report.
  • Adjustments and reimbursements posted for lost or damaged inventory, or for fee corrections.
  • Mismatched dates because you compared by order date instead of settlement or deposit date.

Never plug a difference into a suspense account without a reason. An unexplained gap is often your first sign of a short payment.

Does the same method work for Flipkart?

Yes. The logic is identical: one payment or settlement advice, one bank credit, then line-level checks. Report names, column headings and payout timing differ by marketplace, so build a separate mapping for each one instead of forcing them into a single template. Check the fee and settlement terms in each seller agreement, and confirm the latest terms with the marketplace when they are revised.

Make it a monthly routine

Reconcile each settlement within a few days of the bank credit, not at month-end. Keep a running exceptions register, set a cut-off after which an open item becomes a claim, and keep the evidence (report extract, agreement clause, order IDs) with each claim.

Once you handle several marketplaces and thousands of orders, Excel gets heavy. MarketplaceMetrics by Fundle reconciles marketplace sales and settlements, checks commissions and fees against agreed terms, and tracks returns and recovery cases. Myntra Excel reports are reviewed today, and other marketplaces are in scope discussion, so confirm Amazon and Flipkart coverage with the team.

Worked example

Illustrative example only. The figures below are made up to show the method and are not real rates or results.

Line in settlement reportAmount (₹, illustrative)
Product sales2,50,000
Refunds-20,000
Commission and fees-47,000
Taxes withheld-3,000
Adjustments and reserve-5,000
Settlement net total1,75,000
Bank credit received1,72,500
Unmatched difference2,500

The payout-level check shows a ₹2,500 gap. You would then look for a bank charge, a separate small credit or a carried-forward balance. If none explains it, you raise it with the marketplace with the settlement ID and report extract. Separately, you would still test the ₹47,000 of fees against your rate card.

Questions and answers

Where do I find the Amazon settlement report?

It is available in Seller Central under the Payments or Reports section, usually as a downloadable settlement or date-range report. Menu names and layouts change from time to time, so check your account or Amazon's seller help pages for the current path.

Why does my bank credit not match the settlement total?

Common causes include reserves, negative balances carried forward, split or delayed payouts, bank charges and adjustments. Match by settlement ID and deposit date first, then categorise the report lines. If the gap stays unexplained, raise it with the marketplace with supporting evidence.

How often should I reconcile marketplace settlements?

Reconcile each settlement soon after the bank credit arrives, ideally weekly, and close the month with a summary. Frequent reconciliation keeps open items small and helps you raise claims for short payments or wrong deductions while the evidence is fresh.

Can I check fees and TCS or TDS in the same exercise?

Yes, but treat them separately. Check fees against your seller agreement and rate card. For TCS and TDS, compare the amounts withheld with tax statements and consult your tax adviser, because rates and rules change and should be confirmed from current official sources.
