A marketplace payout is a net figure, so reconciling it in Zoho Books means rebuilding it from sales, returns, fees and tax deductions before you match it to the bank credit.

  • Clean marketplace clearing balance
  • Fee errors caught early
  • Returns tracked to settlements

SHORT ANSWER

Create a clearing account in Zoho Books for each marketplace. Book sales, returns, commissions and fees against it from the settlement report, then match the bank credit against the clearing balance. Whatever remains is a genuine difference: a missing order, wrong fee, unrecorded return or withheld amount. Investigate these against the seller agreement and raise claims, rather than writing them off.

Why marketplace payouts rarely match your sales

The bank credit from a marketplace is not your sales figure. It is sales, minus returns, commissions, fixed and shipping fees, GST on those fees, tax collected or deducted at source, and any penalties or adjustments. Settlements also arrive in batches that cut across order dates and months.

If you book the bank credit directly as income in Zoho Books, you lose all of this. Revenue is understated, expenses are hidden, and you cannot tell whether a fee was charged correctly. The fix is to treat the payout as the last step of a chain, not the first.

Set up Zoho Books before you reconcile

Spend an hour on structure and the monthly work becomes much lighter.

  • Marketplace clearing account: one per marketplace, as a current asset. Sales debit it; settlements and credit notes clear it.
  • Expense accounts: separate heads for commission, fixed fees, shipping or logistics fees, and promotion or ad charges.
  • Tax accounts: receivable or asset accounts for tax collected or deducted at source, so they can be matched to your returns and certificates.
  • Difference account: a temporary account such as 'Marketplace differences under review', never a permanent write-off head.
  • Contacts: the marketplace as a customer for sales and as a vendor for fee invoices.

Check your tax treatment of each deduction with your tax adviser, and confirm current rules rather than relying on old notes.

Step-by-step: reconcile one settlement

  1. Download the settlement report from the seller panel for the exact payout period. Keep the settlement or UTR reference.
  2. Record sales as invoices (per order, or as a summarised invoice per day or settlement, depending on your GST and audit needs) against the clearing account.
  3. Record returns as credit notes against the same clearing account.
  4. Record fees as a bill or journal from the marketplace's fee invoice, split by fee type, with GST as shown on the invoice.
  5. Record tax deductions as per the report, in the tax accounts you created.
  6. Compute expected payout from the report and compare it with the bank statement line in Zoho Books.
  7. Match the bank credit in Banking by posting it against the clearing account. Any gap goes to the difference account with a note.

A settlement is reconciled only when the clearing account for that period nets to zero, or each leftover item has a reason.

Handle returns, TCS and TDS properly

Returns are the main reason clearing balances drift. A customer return may be credited in a later settlement than the original sale, so your clearing account will carry open items across month-ends. That is normal; keep a list by order ID.

For tax deducted or collected at source by the marketplace, do not guess the rate. Use the figures in the settlement report, the marketplace's tax statements, and your tax adviser's guidance on current GST and income-tax provisions. Match what you book to what appears in your GST portal and TDS records, because mismatches here affect credits you can claim.

Also record return-related charges separately, such as reverse shipping or return fees, so you can check them against your seller agreement.

Common differences and what to do about them

DifferenceLikely causeAction
Bank credit lower than expectedPenalty, adjustment or fee not shown in the reportAsk for a breakdown; compare with seller agreement
Sale with no payoutOrder held, disputed or in a later cycleTrack by order ID; raise a ticket if overdue
Return not creditedReturn not received or not approvedOpen a recovery case with evidence
Fee higher than agreedWrong category or rate appliedCheck the rate card and agreed terms; dispute with proof

Always confirm the dispute window and claim process in your seller agreement or the marketplace's current policy, as these change.

When Zoho Books alone is not enough

Zoho Books is a good ledger, but it does not know whether a marketplace charged the right commission or whether every return was credited. Doing this in spreadsheets works at low volume and breaks as order counts grow.

MarketplaceMetrics by Fundle reconciles marketplace sales and settlements, checks commissions and fees against agreed terms, and tracks returns and recovery cases. Myntra Excel reports are reviewed today; other marketplaces are in scope discussion. Your Zoho Books entries then rest on verified settlement numbers.

Worked example

Illustrative example only. These figures are made up to show the mechanics, not real rates or results.

ItemAmount (₹, illustrative)
Sales invoiced to clearing account1,00,000
Less: credit notes for returns(12,000)
Clearing balance before settlement88,000
Fees and charges incl. GST on fees (per fee invoice)18,000
Tax deducted or collected (per settlement report)1,500
Expected bank credit68,500
Actual bank credit67,000
Unexplained difference1,500

Settlement entry: debit Bank ₹67,000, debit Fees ₹18,000, debit Tax account ₹1,500, debit 'Marketplace differences under review' ₹1,500, credit Marketplace clearing ₹88,000. The clearing account is now zero, and the ₹1,500 stays visible until you find the reason, such as an unlisted penalty, and either accept it or claim it back.

Questions and answers

Should I book marketplace sales as one invoice or per order?

It depends on your GST compliance needs, volume and auditor's preference. Per-order invoices give traceability, while summarised invoices reduce data entry. Whichever you choose, keep order-level data from the settlement report available, and check the approach with your chartered accountant.

Can I record the bank credit directly as income in Zoho Books?

It is possible but not advisable. Income will be understated, fees and tax deductions get hidden, and you cannot check charges against your agreement. Booking gross sales, returns and fees separately through a clearing account gives accurate revenue and a trail for disputes.

How often should I reconcile marketplace payouts?

Reconcile each settlement as it arrives, or at least weekly for high-volume sellers, and do a full clearing-account review at month-end. Early reconciliation helps you raise fee or return disputes within the marketplace's claim window, which you should confirm in your seller agreement.

Where do I find the correct commission and fee rates?

Use your signed seller agreement, the current rate card in the seller panel, and any commercial addendum. Do not rely on memory or old emails. Compare each charged fee in the settlement report with these documents, and confirm the latest terms with your account manager.
