Marketplace TCS: Credit Ledger vs Cash Ledger

GST TCS deducted by a marketplace is not input tax credit, and knowing which ledger it sits in decides how you use it and how you reconcile it.

  • Know where TCS lands
  • Avoid wrong ITC claims
  • Cleaner GSTR-3B payments
  • Match TCS to settlements
  • Spot missing TCS credit

SHORT ANSWER

GST TCS deducted by a marketplace is credited to the seller's electronic cash ledger, not the electronic credit ledger. The credit ledger holds input tax credit (ITC) from purchases. Cash ledger balance can pay tax liability in the same way as a challan deposit. Check both against GSTR-8 data, GSTR-2B and your settlement reports every month.

Why sellers confuse the two ledgers

Both ledgers sit on the GST portal under your GSTIN, and both reduce what you pay out of pocket when filing GSTR-3B. The word "credit" also muddies things: the marketplace deducts TCS and the seller gets "credit" for it, so many teams assume it flows into the electronic credit ledger. It does not.

The two ledgers have different sources, different usage rules and different refund routes. Mixing them up leads to wrong ITC claims, wrong cash payments and reconciliation gaps that surface only during an audit or notice.

What the electronic cash ledger holds

The electronic cash ledger is your GST "wallet" funded in cash. Balance comes from:

  • Challan deposits you make through net banking or other available payment modes.
  • TCS collected by e-commerce operators on your supplies, once it is reported by the operator in GSTR-8 and reflected against your GSTIN as per the portal process.

You can use this balance to pay tax, interest, penalty, fees or other amounts, as permitted by GST law. Excess balance may be eligible for refund through the prescribed process. Confirm current conditions with your tax adviser.

What the electronic credit ledger holds

The electronic credit ledger holds input tax credit. It is built from:

  • ITC on eligible purchases, such as packaging, services, and inputs, that appears in GSTR-2B and is claimed in GSTR-3B.
  • Other ITC entries allowed under GST law, such as certain reversals and re-claims.

ITC is subject to eligibility, blocked credit rules and utilisation order. It cannot be used for everything the cash ledger can, and refund of ITC balance is allowed only in specific cases such as certain inverted duty or export situations. Verify with your adviser.

Note the last row. TCS and ITC on marketplace fees are two separate things, and they land in different ledgers.

How to reconcile TCS with your settlements

Each month, tie three sources together:

  1. Settlement or sales report: the TCS amount the marketplace shows against your orders, net of returns.
  2. Portal data: TCS details reported against your GSTIN from the operator's GSTR-8, and the cash ledger entries.
  3. Your books: TCS receivable or advance tax recorded in accounts.

Differences usually come from return timing, period mismatches, wrong GSTIN or state on the operator's side, or the operator filing late. Find the exact rate and basis in your seller agreement, the marketplace's tax documents and the current GST notifications.

If you sell across several marketplaces, doing this in spreadsheets gets slow. MarketplaceMetrics by Fundle reconciles marketplace sales and settlements for Indian brands and helps flag gaps for follow-up. Myntra Excel reports are reviewed today, and other marketplaces are in scope discussion.

Mistakes to avoid

  • Claiming TCS as ITC in GSTR-3B. It is a cash ledger credit, not ITC.
  • Ignoring small mismatches between the settlement report and the portal. They accumulate across months.
  • Treating income tax TDS as the same thing. Income tax deduction by operators is separate from GST TCS and is checked through your income tax records. Confirm applicability with your tax adviser.
  • Leaving excess cash ledger balance idle without a plan to use it or claim a refund.
  • Not retaining evidence such as monthly settlement reports and portal screenshots for follow-up with the marketplace.

Worked example

Illustrative example only. Figures are not rates or real results.

A brand's GST output tax liability for a month is ₹1,50,000 (illustrative). Its electronic credit ledger has ₹90,000 of eligible ITC (illustrative). TCS reflected in the electronic cash ledger from marketplaces is ₹8,000 (illustrative).

  • Liability after using ITC: ₹1,50,000 − ₹90,000 = ₹60,000
  • Paid using TCS in the cash ledger: ₹8,000
  • Remaining cash to deposit by challan: ₹60,000 − ₹8,000 = ₹52,000

If the settlement reports show TCS of ₹10,000 (illustrative) but the cash ledger shows only ₹8,000, the ₹2,000 gap is a recovery item. Raise it with the marketplace with the order-level data, and check whether the operator has filed GSTR-8 for that period.

Questions and answers

Does marketplace TCS go to the electronic credit ledger?

No. GST TCS collected by an e-commerce operator is credited to the supplier's electronic cash ledger, not the electronic credit ledger. The credit ledger is for input tax credit on eligible purchases. Verify the latest portal process with your tax adviser.

Can I use TCS cash ledger balance to pay GST liability?

Generally yes. The electronic cash ledger can pay tax, interest, penalty, fees and other amounts permitted under GST law. Many sellers use it to offset the cash portion of GSTR-3B. Check current rules and any restrictions with your tax adviser.

Why does my settlement report TCS differ from the portal?

Common causes are return timing, period mismatches, GSTIN or state errors, and late GSTR-8 filing by the marketplace. Compare order-level TCS from the settlement report with portal data for the same period, then raise a documented query with the marketplace.

Is GST TCS the same as income tax TDS on marketplaces?

No. GST TCS is collected under GST law and appears in your GST cash ledger. Income tax TDS by operators is a separate provision, tracked through income tax records. Confirm rates and applicability in current notifications and with your tax adviser.
