Export your delivered orders from the sales report and your settlement lines for the same period, then match them on a unique order or item ID. Remove orders still within the payment cycle, orders returned or cancelled, and orders netted against adjustments. Whatever remains unmatched is a candidate for a recovery case, supported by order-level evidence.
Why an order looks missing in the first place
Before you assume Myntra has not paid you, remember that a settlement report is not a mirror of your sales report. An order can be absent from a settlement for several ordinary reasons:
- Timing: the order was delivered, but its payment falls in a later settlement cycle.
- Returns and cancellations: the order was returned, so it is reversed or netted rather than paid.
- Adjustments: a deduction, penalty or earlier overpayment was set off against the payout.
- Data differences: the same order appears under a different ID, such as an order ID versus an item or SKU-level ID.
Only after ruling these out should you treat an order as a short payment.
Collect the right files for the same period
Reconciliation fails most often because the files cover different date ranges. Download these for one clear window, and extend the settlement window by a cycle or two so late payments are captured:
- The Myntra sales or order report for the period, filtered to delivered orders.
- The settlement or payment report covering the same period plus the following cycle.
- The returns report, including returns received and any return-related adjustments.
- Your seller agreement and current rate card, so you know the commission and fee terms you expect to see applied.
Report names and column headings can differ by account and report version, so check your own downloads rather than relying on a fixed template. If you are unsure which report holds what, confirm with your Myntra account manager or seller support.
Match orders step by step
- Pick a unique key. Use the order ID or item-level ID that appears in both files. If a single order has multiple items, match at item level.
- Clean the data. Remove duplicates, trim spaces and make sure IDs are stored as text so long numbers do not turn into scientific notation in Excel.
- Lookup each delivered order in the settlement. Use XLOOKUP or VLOOKUP, or a COUNTIF check, to flag orders with no settlement line.
- Tag the unmatched orders. Check each against the returns report and against the next settlement cycle.
- Compare amounts for matched orders. A line that is present but short is a different problem from a missing line, so keep these as separate lists.
- Check the reverse direction. Look for settlement lines with no matching sales record, which can point to ID mismatches or duplicate postings.
Common causes and what to check
| What you see | Likely cause | What to check |
|---|---|---|
| Delivered order, no settlement line | Payment in a later cycle, or unpaid | Next cycle's report; payment timelines in your agreement |
| Order present with a negative or zero amount | Return or cancellation netted | Returns report and return date |
| Order paid, amount lower than expected | Fee, commission or adjustment difference | Rate card and fee breakup for that line |
| Return received but no credit | Return not reflected in settlement | Return status, quality-check outcome, claim window |
| Same order appears twice | Duplicate or reversal plus repost | Line-level dates and reference numbers |
Do not hard-code any fee or tax rate in your checks. Take commission, fees and tax treatment such as GST or TCS from your seller agreement, the current rate card and the settlement report itself, and confirm the latest terms with Myntra or your tax adviser.
Raise a recovery case with evidence
Once an order is unmatched after all the checks above, prepare a case that Myntra's team can act on without back-and-forth:
- Order or item ID, order date, delivery date and SKU.
- The expected payout and how you calculated it from your agreed terms.
- The settlement reports you checked, including the later cycles.
- Return or cancellation status, if relevant.
- Any screenshots or ticket references from earlier communication.
Raise it through your seller support channel and note the ticket number against each order. Check your agreement for any time limit on disputes or claims, because late cases can be rejected. Track each case until it is paid, rejected or written off, with a reason recorded.
Make it a monthly routine
Do the match once a settlement cycle closes, not once a year. A simple tracker with columns for order ID, expected amount, received amount, status and ticket number is enough to begin. If manual Excel matching is eating your finance team's time, MarketplaceMetrics by Fundle reconciles marketplace sales and settlements, checks fees against agreed terms and tracks returns and recovery cases. Myntra Excel reports are reviewed today, and other marketplaces are a scope discussion.
Worked example
Illustrative example only. Figures are not real data or actual Myntra rates.
A brand has 120 delivered orders in its sales report for a fortnight. The settlement report for that window and the next cycle shows 114 order lines.
| Step | Orders |
|---|---|
| Delivered orders in sales report | 120 |
| Matched settlement lines | 114 |
| Unmatched on first pass | 6 |
| Found in next cycle's report | 3 |
| Returned and netted per returns report | 2 |
| Genuinely unexplained | 1 |
The one unexplained order had a selling price of ₹1,299. Applying the fees from the agreement, the brand calculates an expected net payout of ₹1,010 (illustrative). It raises a recovery case for ₹1,010 with the order ID, delivery date, calculation and both settlement reports attached. The other five orders need no case, since three were only late and two were correctly netted.
Questions and answers
Why is a delivered order not in my Myntra settlement report?
Most often it falls in a later settlement cycle, or it was returned or cancelled and netted. Check the next cycle's report and the returns report first. If neither explains it, compare against your agreement's payment timeline and raise a case.
Which ID should I use to match orders?
Use the identifier present in both your sales and settlement files, usually the order ID or an item-level ID. If an order has several items, match at item level so partial returns do not hide a missing line. Store IDs as text in Excel.
How far back can I raise a claim for a missing payout?
The time limit depends on your seller agreement and Myntra's current policies, so we cannot give a fixed number. Read the dispute and claim clauses in your agreement, confirm with seller support, and raise cases promptly after each reconciliation.
Is a short payment the same as a missing order?
No. A missing order has no settlement line at all, while a short payment has a line with a lower amount than expected. Keep them as separate lists, because the evidence differs: one needs payment proof, the other needs a fee or adjustment comparison.
