SHORT ANSWER

A Myntra reconciliation Excel template should have four sheets: sales data, settlement data, agreed terms, and a matching sheet that compares expected payout with actual payout for every order. Add return status and a variance column, then review unmatched items monthly. Pull column names from your own Myntra reports and confirm fee terms in your seller agreement.

What your template must answer

Before you build tabs and formulas, decide the questions the file must answer every month. For most brands these are:

  • Which orders were sold, shipped, delivered or returned, and which of them were paid?
  • Did each payout equal the sale value minus the deductions your agreement allows?
  • Which returns have been reversed correctly, and which need a claim or follow-up?
  • What is the total gap between expected and received money, and who owns each open item?

If a sheet does not help answer one of these, leave it out. Templates become unusable when they carry every column the portal exports.

The sheets to set up

Keep raw data separate from workings. Never edit pasted reports; build formulas on a separate sheet so you can re-paste next month.

Report names and columns differ by account and change over time, so map them from your own downloads rather than copying a generic layout.

Columns for the Match sheet

The Match sheet is the core of the template. One row per order or order line, with these columns:

  • Order ID / SKU / style ID: your lookup key. Check the same key exists in both reports.
  • Order date and settlement date
  • Sale value as per the sales report
  • Expected commission and fees: pulled from the Terms sheet using a lookup, not typed by hand
  • Expected payout = sale value minus expected deductions
  • Actual payout from the settlement report
  • Variance = actual minus expected
  • Status: matched, short-paid, over-paid, unsettled, returned
  • Owner and remarks

Use a tolerance, for example flag only variances above a small value you choose, so rounding differences do not bury real issues.

Step-by-step monthly process

  1. Download the sales and settlement reports for the same period, plus a few days of overlap, since orders and payouts often fall in different months.
  2. Paste them into the raw sheets without editing.
  3. Refresh lookups on the Match sheet. Use XLOOKUP or INDEX-MATCH, and handle duplicates and blank keys first.
  4. Filter for variance and unsettled orders. Sort by value, and start with the largest.
  5. Check each variance against your Terms sheet and the settlement line items.
  6. Log disputes with the order ID, amount and date raised, then track them to closure.
  7. Lock the month and save a copy for your finance and audit records.

Checking commission, fees and taxes

Do not hard-code rates from a blog, including this one. Commission slabs, fixed fees, return charges and any tax collected at source depend on your category, your agreement and the latest marketplace circulars. Put the rates in the Terms sheet with an effective-from date and the document they came from. When terms change, add a new row; do not overwrite the old one, or past months will recalculate wrongly.

For GST, TCS and TDS treatment, reconcile the amounts shown in the settlement documents with your books, and confirm the correct treatment with your tax adviser.

Where Excel starts to struggle

A spreadsheet works well for a modest order volume and one marketplace. It gets harder when files run to lakhs of rows, several people edit the same workbook, return cases stay open across months, or terms change mid-quarter. Formula errors then become the main risk.

At that point, a tool built for the job helps. MarketplaceMetrics by Fundle reconciles marketplace sales and settlements, checks commissions and fees against agreed terms, and tracks returns and recovery cases. Myntra Excel reports are reviewed, and other marketplaces are in scope discussion. Pricing is a tailored quote.

Worked example

Illustrative example only. The figures and the 18% commission below are made up to show the method. They are not Myntra rates. Use the terms in your own agreement.

LineOrder A (illustrative)
Sale value₹1,000
Expected commission (illustrative 18%)₹180
Expected other fees₹50
Expected payout₹770
Actual payout in settlement report₹750
Variance-₹20

On checking the settlement lines, the commission charged is ₹200 against the expected ₹180. The Match sheet marks the order as short-paid, and you raise a query with the order ID, the agreed term and the ₹20 difference. Across many orders, a repeated pattern like this points to a rate or configuration mismatch, not a one-off error.

Questions and answers

Is there a ready-made Myntra reconciliation Excel template I can download?

Column layouts depend on the reports your account receives, so a generic file often needs rework. It is safer to build from your own downloads using the sheet structure above: raw sales, raw settlements, terms, a match sheet, returns and a summary.

Which Myntra reports do I need for reconciliation?

You typically need an order or sales report and a settlement or payout report, plus returns data. Report names and fields vary by account and change over time, so check your seller portal and confirm with your account manager if unsure.

How often should I reconcile Myntra payouts?

Monthly is the minimum for closing books, but a weekly review of unsettled orders and large variances catches problems sooner. Claim windows for disputes may be limited, so check your seller agreement for time limits.

When should I move beyond Excel?

Consider moving when files become slow or error-prone, several people edit them, return and recovery cases stay open for months, or you sell on more than one marketplace. Time spent fixing formulas then outweighs the cost of a dedicated tool.
